Job Description

The Administration Operations Assistant (AOA) is responsible for supporting the Director of Administration, the administrative team, and executives with administrative and logistical assistance. The AOA provides office support by completing assigned administrative projects, generating reports and analyzing data, assisting staff with technical difficulties, and conducting system testing. The AOA ensures that all goals and projects are accomplished while following proper procedure and protocol, which requires organization, proficiency at handling and prioritizing multiple projects at once, and having strong follow up and time management skills. Other responsibilities include research, data entry, and occasionally copy writing.

The ideal candidate has excellent initiative and is goal-oriented with the drive to see projects from start to finish. He or she possesses excellent writing skills, is comfortable working in a fast-paced environment, and can communicate effectively with all levels of staff in all departments as well as external persons. Candidates must be: trustworthy, highly detail-oriented, computer and internet savvy, have a strong work ethic, have exceptional customer service skills, and be professional with a positive attitude.

  

Essential Functions and Expectations: 

  • Resolve administrative problems by preparing and creating reports, analyzing data, and identifying solutions
  • Track and analyzes various marketing strategies and makes recommendations
  • Work on multiple assignments with competing deadlines
  • Research information through the internet and other sources
  • Review and creates detailed policies and procedures
  • Help with website and database testing, including thorough testing of forms and other applications
  • Assist staff with technical difficulties and reports issues to the IT, Phone or Web teams
  • Comply with all company policies and procedures

Additional Responsibilities:

 

·         Data entry, information processing and digital filing

·         Research, prioritize and follow up on incoming issues and concerns     including those of a sensitive or confidential nature

·         Occasionally help with website content development and copy writing

·         Assist the marketing department with special projects

·         Assist ABC Alumni and students over the phone and through email

·         Administer Short Term Programs for students and alumni

·         Assist with other tasks and special projects as needed and requested by management

 
 

 


Job Requirements
Required Knowledge, Skills, and Abilities:

• Proficient in Word, Excel and database management is a must
• Database management and CMS experience is required
• Type a minimum of 45 WPM
• Extremely Internet and computer savvy and willing to troubleshoot problems
• Ability to work quickly and independently in a dynamic environment
• Excellent writing and verbal communication skills (email, phone, and in person)
• Works well in a true team environment
• Creative personality and the ability to think “outside of the box”
• Strong interpersonal and relationship-building skills—internally and externally
• Ability to manage multiple tasks simultaneously while maintaining attention to detail, ensuring accuracy and on-time completion of projects
• Adapts to a quick changing office environment and remains calm under pressure
• Ability to problem solve and interpret direction from upper management
• Excellent organizational and time management skills
• Ability to closely follow instructions given by management and receive constructive criticism with a positive attitude
• Must be able to commit to a 40-hour workweek at the corporate office and the ability to work overtime for completing necessary projects or reports. Hours are generally 8:00 a.m. to 4:30 p.m. Monday-Friday, subject to change if needed
