Job Description

SUMMARY

Under the supervision of the Executive Director of Human Resources, the Human Resources Coordinator is responsible for supporting the various areas of the Human Resources Office with a variety of HR functions.

ESSENTIAL JOB FUNCTIONS:

  • Oversee the employment process for students
  • Maintain the various tracking systems in the HR Office.
  • Post open positions on the CalArts and on-line employment websites.
  • Process new hire background checks when applicable.
  • Assist with generating new hire offer letters.
  • On-board staff and faculty in individual or group settings; collect information for I-9 verification and process through E-Verify.
  • Prepare and maintain orientation materials.
  • Input and maintain data in Colleague HRIS and FileMaker, and generate reports as needed.
  • Insure notification of employment changes to Payroll and other appropriate departments, as needed.
  • Organize and maintain all files, including personnel files for both active and inactive staff and faculty.
  • Handle daily runs to mailroom. Open, sort and distribute mail for office.
  • Assist with answering busy telephones for the office and greet faculty, staff, students and visitors.
  • Order and maintain office supplies and insurance enrollment materials.
  • Keep current with legal issues related to employment/recruitment.
  • Assist with legal compliance including updates of forms, postings, employee notifications, etc.
  • Assist with preparing COBRA enrollment paperwork.
  • Work in concert with the Assistant Director of Human Resources to coordinate benefits open enrollment.
  • Process employment verifications.
  • Respond to employee requests for assistance.
  • Maintain the confidentiality of all personnel related matters
  • Perform other duties as assigned.

SKILLS/ABILITIES:

  • Strong organizational, problem solving and time management skills, as well as flexibility to move between day-to-day tasks and project-oriented tasks.
  • Excellent verbal and written communication skills.
  • Strong analytical, technical and advanced computer skills (e.g., word processing, spreadsheet).
  • Ability to maintain confidential information.
  • Ability to lift/push up to 20 lbs

EXPERIENCE:

  • Minimum 2 years office experience; human resources experience a plus.
  • Experience working in an academic environment desired.
  • Experience working with Colleague or other enterprise systems highly desired.

EDUCATION:

  • High School Diploma or equivalent.
