Duties and Responsibilities:
Manage the maintenance of all tables, files, and aspects of the data base used to track projects; contractor compliance activity; receipt and approval of certified payroll records; correspondence; site visit data and all other labor compliance related data and documents.
Manage the receipt, processing and data entry of certified payroll records for all projects into Access data base.
Manage the receipt, review and data entry of site visit reports into Access data base.
Maintain and manage Local Hire tracking reports.
Date stamp all mail and Certified Payroll Records upon receipt daily.
Update and/or correct status of previously entered certified payroll record and other data as directed.
Manage and maintain an orderly filing system for certified payroll records, project data, correspondence, and miscellaneous items.
Manage the orderly flow of certified payroll records and all labor compliance related documents from receipt to review by the assigned Labor Compliance Officer/Auditor to files. The system is designed to track and account for the transition of certified payroll records and all documents.
Manage the preparation and processing of outgoing correspondence, as well as contact contractors and request pertinent data to properly enter certified payroll records.
Manage the close out of project documents and files. Conduct file audits to verify that the physical file matches the data base; ensure that the data base matches the physical file and complete a list of missing documents for request by Labor Compliance Technician.
Manage the establishment and maintenance of project data binders by District, project, prime contractor and subcontractor. Manage the gathering and obtaining of all other necessary and required project and contractor data such as bid advertisement dates; applicable prevailing wage determination; subcontractor lists; project amount; estimated start and completion dates; bonding company name, address, telephone number; bond number; notice to proceed; and notice of completion.
Manage the preparation of form letters and routine correspondence and the mailing of correspondence as necessary and required. Also, assist with the preparation of outgoing USPS correspondence.
Manage the processing of data required for public records requests by pulling files, photocopying records, redacting confidential data and making a page count.
Engage in other duties as necessary and as assigned.
